Dear UK and Europe-based Alumni,

I am writing to let you know that, after ten years, I am planning to stand down as Chairman of the UKZN Alumnus Association of Europe after our annual function in September, and am now on the search for a replacement Chairman.

I have discussed the process which this will take with the Alumni Relations Office in Durban and have agreed the following:

  • Anyone who would like to submit an application should do so in writing to me – this can be by email.
  • The application should include a brief paragraph as to why you would be interested in this role and any ideas you might have for the Association going forward.
  • The deadline for applications is 15th July 2013. I do not consider it essential for the Chairman to be London-based, although a willingness to travel for meetings is necessary – these meetings are often in London.
  • Depending on the number of applicants, I will draw up a shortlist and then will interview the shortlisted, either face to face if possible, or on the phone or Skype if not, along with one other alumnus/alumna in the UK.
  • A recommendation will then be made to Durban and a decision made.
  • The position will be offered to the successful candidate by 1st September.
  • All unsuccessful candidates will be advised.
  • The new Chairman will be introduced to the guests at the function in September.

We do not have a formal job description for this post, but I have listed below what I consider the key functions of the Chairman.

1. To lead the Alumni Association in UK and Europe.
2. To keep abreast of the key developments and initiatives of the University, and thereby to ensure that the views of the Association are fairly and properly represented to the University.
3. To encourage and facilitate enrolment from any appropriate alumnus/a in the Association.
4. To organise appropriate functions/get-togethers for the Alumni, currently limited to one function a year, held in London in September. This includes finding a speaker, arranging a venue and catering, handling the replies from potential guests, liaising with any alumni who have questions or issues about their membership or attendance, and then ensuring that the function itself runs according to plan. The busy time of the year for the Chairman is obviously in the run-up to the annual function, i.e. June - September. (Incidentally, the issue of one function a year is not cast in stone.)
5. To represent the University on any appropriate occasion as required.
6. To have a permanent Committee of support alumni who can assist in the accomplishment of the tasks outlined here
7. To liaise on a regular basis with the Alumni Relations Manager, Finn Christensen, in Durban, ensuring that thorough two-way communication is maintained.

I look forward to hearing from anyone who might be interested. I am very happy to answer questions on the role.
